The story
Pinecrest Health operates a network of 14 outpatient clinics serving rural communities across three states. Their clinicians were spending an average of 2.1 hours per day on after-hours charting, documentation that followed every patient encounter. Burnout scores had been climbing for three consecutive years, and the organization was struggling to retain physicians in an already tight labor market. The existing dictation tools were slow, inaccurate in noisy exam rooms, and required clinicians to correct more than they saved.
We built a HIPAA-compliant clinical scribe that integrates with the existing EMR through HL7 interfaces. The system listens to patient encounters in real time, extracts relevant clinical information, and generates structured chart notes that match the clinic templates clinicians already use. Clinicians review and approve notes with a single tap rather than writing them from scratch. The scribe runs on a private cloud instance with full audit logging and encryption at rest and in transit.
We deployed it first in two pilot clinics over four weeks, then rolled it out to all 14 locations.
Charting time dropped by 40 percent across the network. After-hours documentation work fell from 2.1 hours per day to under 45 minutes. Clinician satisfaction scores rose to 4.7 out of 5. The system now processes over 3,000 encounters per week and has been adopted by every clinician in the network.
