The story

Northwind Freight was running its entire dispatch operation on a legacy system built in 2014. Drivers and dispatchers navigated over 400 screens to assign loads, confirm pickups, and close out routes. A single dispatch took 23 minutes on average. The interface had not been updated in years, and support tickets piled up weekly from frustrated staff who could not find what they needed without calling IT. The company was growing fast enough that the old tool was actively slowing them down.

We spent the first two weeks embedded with dispatch teams in three terminals, mapping every workflow and identifying the 12 screens that handled 80 percent of daily traffic. Instead of rebuilding all 400 screens, we designed a single unified dashboard that surfaced the right information at the right time: active loads, driver locations, delivery windows, and exception alerts.

The new tool launched in six weeks with a phased rollout across terminals. Dispatchers adopted it within days because the workflows matched how they already thought about their jobs. Daily dispatch time dropped from 23 minutes to 4 minutes, an 83 percent reduction. Support tickets fell by 62 percent. Driver NPS scores climbed 41 points as the communication loop between dispatchers and drivers tightened.

The dashboard now handles over 10,000 dispatches per week and runs on a modern stack the internal team can maintain.
